Ask what happens when something is wrong

Every demonstration shows the happy path. Buildings are not a happy path. Ask what happens when a payment was recorded against the wrong unit, when an approved payroll run needs reopening, when a parking bay was allocated on the wrong terms.

Software that cannot express a correction forces staff to work around it, and the workaround becomes the real system.

Ask where the history goes

Disputes arrive late. If changing an owner overwrites the previous one, you will be unable to answer a question that will certainly be asked. Insist on seeing what a record looked like a year ago.

Ask how money is separated

Rent, service charges, unit sale instalments and construction cost are four different kinds of money. Software that pools them produces figures that look fine and mean nothing. Ask directly whether a unit sale can appear in rental income.

Ask who can see what

Residents, owners, staff and managers need different views. If everyone sees everything, you will end up not giving anyone access, and the system becomes a back-office tool that residents still telephone about.

Ask where the data lives — and where it can live

Some organisations cannot put building data in a third-party cloud. Some sites have unreliable internet. If either is true for you, ask whether the product can be installed on your own server or run offline, and whether that is the same product or a reduced one.

Ask what happens if you leave

A straight answer about data export is a good sign. Hesitation is a very bad one.

Then run one real month

Not a demonstration — one genuine billing cycle on one real building, with real readings and real residents. Every problem worth knowing about shows up in the first month, and none of them show up in a slide deck.
