Billing & collections

A whole building billed in one run

Billing is where building management is won or lost. Do it late and cash flow suffers; do it wrong and you spend the month arguing. This does it once, the same way, every month.

What it does

Rent, maintenance, utilities read off meters, parking, amenity charges and late fees all come together into one invoice per unit. Run it for a building and a month, and every invoice is raised at once — consistently, in your own currency, with the charges itemised so a resident can see exactly what they are paying for.

Partial payments, credits and arrears are tracked per unit, so at any moment you can answer the only two questions that matter: what was billed, and what is still owed.

  • One invoice per unit, itemised by charge
  • Utilities billed from meter readings, including tiered rates
  • Rent billed on the calendar month, with a partial first month charged pro rata
  • Parking, amenities and one-off charges on the same bill
  • Late fees applied by a policy you set, not by hand
  • Payments, part-payments and credits with a running balance per unit
  • Printable statements and receipts for any month

Why it matters

Run it, then check it

A billing run is repeatable and safe to re-run: it will not double-charge a unit that has already been billed for that period.

Arrears you can act on

See who owes what, for how long, across a building or the whole portfolio — and chase from the same screen.

Questions answered on the spot

When a resident asks why the bill went up, the breakdown and the meter reading behind it are right there.

Questions

Can we bill different buildings differently?

Yes. Charge rates can be set for a whole company, a single building, or a specific unit type, and the most specific rate applies.

What happens when a tenant moves in mid-month?

The first month is billed from the day the lease starts and prorated, then billing falls onto the calendar month from the next period.

Can residents pay in instalments?

Part-payments are recorded against the invoice and the balance carries forward, so the ledger always shows what is genuinely outstanding.
